It started simply enough. A potential client comes in, wants a quote for a complete control system with an Omron NX1P2 controller, some I/O modules, and a safety system. The initial quote from the 'cheap' distributor came back at $4,800. The other, more comprehensive quote from our recommended supplier… was $6,200. A 29% difference.

I presented the cheaper option. Of course, the client picked it. Who wouldn't? We placed the order.

  • No integration support: If a module doesn't behave as expected, who do you call? The cheap distributor might not have a dedicated automation engineer on staff.

The way I see it now, the price of a PLC system isn't the hardware cost. It's the total cost of ownership (TCO) from quotation to commissioning. That TCO includes the risk of delays, the cost of re-engineering, and the value of lost production time.

Time Certainty Is Worth the Premium

In March 2024, I paid $400 extra for a rush delivery of a specialized Omron G5 series servo drive. The alternative was missing a $15,000 production line startup. The $400 felt painful until I realized the alternative was a $15,000 loss.

After getting burned twice by 'probably on time' promises from low-cost suppliers, we now budget for guaranteed delivery. It's not the speed that matters—it's the certainty. When you're under a deadline to get a machine running, an uncertain delivery is the most expensive thing you can buy.

I get why people go with the cheapest option—budgets are real, and saving $1,400 on a quote looks good on paper. But the hidden costs of downtime, rework, and delays absolutely crush any savings.

How to Avoid My Mistake

I don't say this to be dramatic. I say this because I've lived it. Here's what I do now—a checklist I maintain for our team, born from that $12,000 lesson:

  1. Always ask for a full BOM with part numbers. If a quote just says 'Omron PLC system,' run. Get the specific CPU model, I/O modules, power supplies, software packages, and cables. Cross-check them against the machine's I/O list.
  2. Get the software license confirmed. Sysmac Studio is expensive. CJ2M CPU units use CX-One. Know what the package includes. Is it the full programming version or just a runtime? Can it be used for development, or only for monitoring?
  3. Ask about hidden costs. 'We can deliver in 5 business days' means what exactly? Does that include the software revision? Does it include testing? Ask about shipping, panel building drawings, and pre-commissioning support.
  4. Add a minimum buffer. I now budget a 20% buffer for any PLC-based project. That covers the 'oh, we didn't think of that' part. Because nine times out of ten, you will think of something after the order is placed.

The premium isn't always a higher price. Sometimes it's just a wiser decision. Choose the certainty of a properly configured system over the illusion of savings. Your future self—and your production manager—will thank you.
